Administrative Assistant - Child Sponsorship

The Child Sponsorship Administrative Assistant will work within the TeachBeyond Child Sponsorship Department. This person will help complete administrative tasks and implement strategic initiatives aligned with TeachBeyond’s vision of seeing individuals and societies transformed by God through education, with a focus on helping disadvantaged children break out of the poverty cycle.

ESSENTIAL FUNCTIONS

Responsibilities and Duties:

  • Working closely with the Child Sponsorship Program Coordinator to further develop, add to, maintain, and improve the Child Sponsorship Program
  • Assisting the Child Sponsorship Program Coordinator with administrative tasks. These will be assigned dependent upon the applicant’s giftings, abilities, and work hours and could include tasks such as, but not limited to, the following:
    • Reviewing, translating, and/or delivering letters between sponsors and school/project field staff
    • Generating various reports, letter templates, and child profile PDFs for field staff
    • Writing/editing/approving texts for TeachBeyond’s website and social media platforms
    • Maintaining and updating the Child Sponsorship website and database
    • Sending courtesy reminders to field staff for child letters, child profile information, child profile photos, school/project photos, general school/project updates, testimonies/stories of transformation, updating school/project information, etc.
    • Notifying field staff, operational staff, and sponsors of changes in sponsorships and policies/procedures
    • Finding new sponsors by creating advocacy groups and toolkits; connecting with churches; promoting the program through online, in-person, and mailing campaigns; creating marketing materials; etc.
    • Encouraging sponsor engagement by creating prayer calendars, sending reminders of children’s birthdays, sharing updates, etc.
    • Scheduling meetings, taking meeting minutes, and creating/following up with resulting tasks/action steps
    • Addressing questions, needs, and concerns of TeachBeyond operational staff, potential school/project field staff, current school/project field staff, potential sponsors, and current sponsors
    • Helping enforce policies and procedures in the Field Staff Manual and notifying the Child Sponsorship Program Coordinator when they are not being followed
    • Visiting current and potential Child Sponsorship sites

GENERAL MEMBER EXPECTATIONS

  • Establish and maintain a support team stay in touch with sending church.
  • Participate actively in local church; follow a personal growth and lifelong learning plan; report regularly on ministry, personal life, and finances; participate in meetings and events mandatory for all members (prayer days, training, etc.).
  • Report regularly on ministry and work outcomes to supervisor
